Adding Members & Assigning Roles

In CAD ROOMS, collaboration starts by inviting members into your Workspace and assigning them appropriate roles. Roles control what each user can access — from full administrative control to simple read-only viewing.

Who Can Invite Members?

Only users with the following roles can invite new members to a workspace:
  • Workspace Owner
  • Workspace Admin

About Roles

Before sending invitations, it’s important to understand the available roles. You can click on Role to view descriptions of each available role:
  • Owner – Full permissions. This role is transferable but cannot be assigned during invitation.
  • Admin – Manage members, projects, and workspace settings.
  • Member – Collaborate on projects with standard permissions.
  • Guest – Guests are fir when you need to securely share files with external users. They do not consume seats and by default only have read-only access to the specific file(s) and their specific revision.
📌 Tip: Use Guests when you only need to share specific files with external stakeholders, without giving them membership.

Steps to Invite Members

1. Open the Members Page

  • Go to your workspace.
  • In the left sidebar, click Members.

2. Enter Invitation Details

  • Type the email address of the person you want to invite.
  • Assign them a role (Member, Admin, or Owner).

3. Send the Invitation

  • Click Invite to send the invitation email.

Managing Invitations

  • Pending invites appear in the Members tab with a Pending status.
  • You can resend or cancel invitations at any time before acceptance.
  • Once accepted, the user will appear under the Active Members list with their assigned role.

Managing Members

  • Change Role → From the member list, update a user’s role using the role dropdown.
  • Remove a Member → Click the “⋮” menu next to a user and select Remove from Workspace.
  • Reassign Projects → Before removing a user, transfer ownership of any projects they created.

Best Practices

  • Assign roles carefully to avoid confusion about permissions.
  • Remove inactive users regularly to optimize license costs and minimize security risks.
  • Check your billing overview often to track seat usage and adjust your subscription as your team grows.
