Adding Members & Assigning Roles

๐Ÿ’ก
In CAD ROOMS, collaboration starts by inviting members into your Workspace and assigning them appropriate roles. Roles control what each user can access โ€” from full administrative control to simple read-only viewing.

Who Can Invite Members?

Only users with the following roles can invite new members to a workspace:
  • Workspace Owner
  • Workspace Admin

About Roles

Before sending invitations, itโ€™s important to understand the available roles. You can click on Role to view descriptions of each available role:
  • Owner โ€“ Full permissions. This role is transferable but cannot be assigned during invitation.
  • Admin โ€“ Manage members, projects, and workspace settings.
  • Member โ€“ Collaborate on projects with standard permissions.
  • Guest โ€“ Guests are automatically created when you share files with external users. They do not consume seats and by default only have read-only access to the shared files/projects.
๐Ÿ“Œ Tip: Use Guests when you only need to share specific files with external stakeholders, without giving them membership.

Managing Members

  • Change Role โ†’ From the member list, update a userโ€™s role using the role dropdown.
  • Remove a Member โ†’ Click the โ€œโ‹ฎโ€ menu next to a user and select Remove from Workspace.
  • Reassign Projects โ†’ Before removing a user, transfer ownership of any projects they created.

โœ… Best Practices

  • Assign roles carefully to avoid confusion about permissions.
  • Remove inactive users regularly to optimize license costs and minimize security risks.
  • Check your billing overview often to track seat usage and adjust your subscription as your team grows.
